1. Purpose of this Privacy Policy
This Privacy Policy explains how the BPOAS UAE Compliance Assistant handles information when used through Amazon Alexa.
The BPOAS UAE Compliance Assistant is an internal guidance tool intended only for approved or invited BPOAS staff. It provides general internal guidance on UAE accounting, VAT, Corporate Tax, AML and KYC, IFRS-based accounting practice, bookkeeping workflows, onboarding, source verification, escalation rules, privacy rules, and client communication guidance.
This assistant is not intended for public client use and does not provide final tax, legal, accounting, AML, or client-specific advice.
2. Who May Use the Assistant
The BPOAS UAE Compliance Assistant is intended only for BPOAS staff who are approved or invited by BPOAS management.
Unauthorized users should not use the assistant.
3. Information Users Must Not Provide
Users must not provide confidential client or personal information when using this assistant.
This includes, but is not limited to:
- Client names
- Tax Registration Numbers or TRNs
- Emirates ID details
- Passport details
- Salaries
- Bank details
- Login credentials
- AML risk ratings
- Sanctions or PEP screening results
- VAT payable amounts
- Corporate Tax computations
- Payroll data
- Client financial statements
- Any other confidential client or personal information
The assistant is designed for general internal guidance only. Users should ask general questions without naming or identifying any client or individual.
4. Information Collected by the Assistant
The current version of the BPOAS UAE Compliance Assistant does not intentionally collect, request, store, sell, or share personal information.
The assistant does not connect to BPOAS client files, Zoho, Gmail, payroll systems, banking systems, AML screening tools, VAT records, Corporate Tax records, or any client database.
The assistant does not maintain its own database of staff questions.
5. Amazon Alexa Processing
The assistant operates through Amazon Alexa. Amazon may process voice requests, transcripts, device information, and related usage information according to Amazon’s own Alexa terms, privacy notices, and user settings.
BPOAS does not control Amazon’s processing of Alexa voice interactions, transcripts, device data, or account-level settings.
Users should also review the applicable Amazon Alexa privacy notices and settings.
6. How the Assistant Uses Information
The assistant uses the user’s spoken request only to provide a general response from the internal BPOAS knowledge base.
The assistant does not use questions to make client-specific decisions, calculate tax liabilities, process payroll, perform AML screening, access client records, or update any external system.
7. Knowledge Base Approval and Updates
The BPOAS UAE Compliance Assistant knowledge base is approved only by Mohaina or another person formally authorized by BPOAS management.
The knowledge base and source register are reviewed monthly to help keep the internal guidance aligned with approved BPOAS references and relevant official sources.
8. No Client-Specific Advice
Responses from the assistant are for internal guidance only.
Staff must escalate complex, sensitive, unusual, high-risk, or client-specific matters to BPOAS management. AML-related concerns must be escalated to the MLRO where applicable.
The assistant does not replace professional judgment, manager review, MLRO review, tax advice, legal advice, accounting review, or client-specific advisory conclusions.
9. Data Sharing
The current version of the assistant does not intentionally share user-provided information with third parties other than processing required for the Alexa skill to operate through Amazon services.
BPOAS does not sell personal information collected through this assistant.
10. Data Retention
The assistant does not maintain its own database of user questions or responses.
Any retention of Alexa voice interactions, transcripts, or usage data by Amazon is subject to Amazon’s own privacy notices, settings, and retention practices.
11. Security and Confidentiality
BPOAS requires users to avoid submitting confidential information through the assistant.
If confidential or personal information is accidentally spoken into the assistant, the user must report the incident to BPOAS management so that appropriate internal review can be performed.
12. Changes to this Privacy Policy
BPOAS may update this Privacy Policy when the assistant is changed, when internal controls are updated, or when legal, regulatory, or platform requirements change.
The current version of this policy should be reviewed together with the BPOAS Assistant Source Register and internal governance rules.
